Paper logbook vs laundry shop app: when is it time to switch?
By the Labahan team · October 18, 2026 · 3 min read
Many good laundry shops still run on a notebook and paper stubs, and for a small shop that can work. Here is an honest look at where a logbook is enough and where it starts to cost you.
Side by side
| Paper logbook | Laundry shop app | |
|---|---|---|
| Cost | Notebook and stub pads | Free plans exist; paid plans cost a monthly fee |
| Finding a load | Flip through pages | Search by name, stub or tag number |
| “Is it ready?” | Customer calls or messages | Customer checks a QR or gets an alert |
| Cash at closing | Add up the page by hand | Expected cash worked out for you |
| GCash and Maya | Written next to the load, if remembered | Recorded with the reference, repeats flagged |
| Staff | Anyone can write anything | Each person signs in; actions are recorded |
| Late loads | Noticed when the customer arrives | Shown in red before they are late |
| Reports | Hours with a calculator | Daily and monthly totals ready |
| Power out or no signal | Still works | Needs a charged phone and a connection |
Signs it’s time to switch
- You do more than 10 to 15 loads a day, or have more than one staff member per shift.
- The drawer is short and nobody knows why.
- You get many “Is my laundry ready?” calls and chats every day.
- A load was lost or given to the wrong customer in the last month.
- You want to know your real profit, not just your sales.
- You are opening a second branch.
When a logbook is still fine
If you run the counter yourself, do a handful of loads a day and know every customer by name, a notebook may be all you need for now. Many owners switch when they hire their first staff member, because that is when “who did what” starts to matter.
What to look for in an app
- Works on the phone you already have, without special hardware.
- Prints on cheap 58 mm or 80 mm thermal printers, or works without printing.
- Customers can check their laundry without installing anything.
- A free plan or trial, so you can test it in your shop first.
- Your data can be exported if you ever leave.
